Who we are

Bristol Insulation Company is a trading name of The Insulation Company UK Ltd, a company registered in England and Wales (company number 16997007). Registered office: 32 Sherborne Road, Basingstoke, United Kingdom, RG21 5TQ. The Insulation Company UK Ltd is the data controller for personal data collected through loftinsulationbristol.com.

Contact us about your data at privacy@theinsulationcompany.co.uk, by phone on 0800 229 4668 (Monday to Saturday, 8am to 6pm), or by post to our registered office.

What we collect

When you send us an enquiry we collect what you enter in the form: your name, phone number, email address and postcode, the service you are interested in, and (on the longer forms) your property type, its approximate age, any details you add, whether you would like occasional advice by email, and your confirmation that you have read this policy.

With the enquiry we also record how it reached us: the page you used, the area page if you were on one, the page you first landed on, the website that referred you, any campaign tags in the link you followed (utm_source, utm_medium, utm_campaign, utm_term, utm_content), the advertising click identifiers Google and Meta add to links (gclid, fbclid), Meta’s browser identifiers (_fbp and _fbc) if you have accepted marketing cookies, a random ID for the enquiry, the time it was sent, and how long the form took to fill in (used to filter out spam).

Our website is hosted by Cloudflare, which processes your IP address to deliver the site and protect it from abuse. To limit repeated submissions we keep a one-way, salted hash of your IP address for one hour; we do not store the IP address itself.

Why we use it and our lawful basis

  • To respond to your enquiry, arrange a survey or assessment and give you a recommendation and quotation: this is a step you have asked us to take before entering into a contract.
  • To run and protect the website, filter spam and keep records of enquiries: our legitimate interests in operating a secure website and a reliable enquiry process.
  • To understand which adverts and pages bring enquiries (campaign tags and click identifiers): our legitimate interests in measuring our marketing; cookies and similar technologies for this are only used with your consent (see our cookie policy).
  • To send occasional insulation advice and updates by email: only if you ticked the box to agree. You can unsubscribe at any time.

Who we share it with

  • GoHighLevel (LeadConnector), our customer-relationship system, which receives and stores enquiries and sends our emails and texts. It is based in the United States.
  • Cloudflare, which hosts the website, runs our enquiry handler and provides security. It operates worldwide. If an enquiry cannot be passed to our CRM straight away, a copy is held in Cloudflare’s storage and deleted after 90 days.
  • Google: the site loads its fonts from Google Fonts, which means your browser sends your IP address to Google when a page loads.
  • Meta (Facebook and Instagram): if you accept marketing cookies, the Meta pixel records page views and completed enquiries so we can measure our adverts. When you send an enquiry, our CRM may also tell Meta about it through Meta’s Conversions API, using your email address and phone number in hashed (scrambled) form, so Meta can match it to an advert you saw. We do this to measure our advertising (legitimate interests); you can object at any time.
  • Approved installation partners: depending on the service and location, your work may be carried out by The Insulation Company or an approved installation partner. If so, we share the details needed for them to contact you, assess the loft and quote.
  • Google Workspace, which provides our business email, calendar, file storage and internal chat. Enquiries and correspondence about them are held there.
  • Anthropic (Claude), an AI assistant our staff use under a business subscription. It is connected to our CRM, Google Workspace and website hosting, so it may process enquiry details when we use it to help manage enquiries and our systems. Anthropic acts as our processor under its commercial terms, which do not allow it to use our data to train its models. It is based in the United States.
  • Professional advisers where needed, and authorities where the law requires it.

We do not sell your personal data.

International transfers

Some of these providers (GoHighLevel, Google, Anthropic, Meta and Cloudflare) process data in the United States or elsewhere outside the UK. Where they do, the transfer is protected by the UK Extension to the EU–US Data Privacy Framework where the provider is certified, or by the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.

How long we keep it

  • Enquiries: for as long as we need to deal with your enquiry, and then for up to 2 years after our last contact with you. If you go ahead with work, we keep the records of that contract and its guarantee for as long as we need to meet our legal and guarantee obligations.
  • Copies of enquiries held in Cloudflare because our CRM could not be reached: deleted automatically after 90 days.
  • The hashed IP address used to limit repeat submissions: one hour.
  • Marketing emails: until you unsubscribe.

Your rights

You have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to how we use it (including for direct marketing, at any time), to receive it in a portable format, and to withdraw any consent you have given. To use these rights, email privacy@theinsulationcompany.co.uk. We will reply within one month.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.
